AVYA is a private members’ community designed to connect South Asians through dating, friendship, professional networking and curated experiences. This Privacy Notice explains what personal information we collect, how we use it, and the rights you have in relation to your information.
1. Who we are
AVYA is responsible for the personal information we collect and process. Data controller: [insert legal entity name once confirmed] Contact: hello@theavya.co
2. Information we collect
When you apply to join AVYA, are referred to us, attend an event or become a member, we may collect information including:
Your name and contact details
Age / date of birth
Location, education and professional information
Social media information you choose to provide
Photographs, profile information and application answers
Membership, application and referral information
Your interests, community preferences, event participation and introductions
You may also choose to provide information about your cultural or ethnic background, languages spoken or understood, and religion or faith. Information concerning racial or ethnic origin and religion or philosophical beliefs may constitute special category personal data under UK data protection law. Where we collect this information, it is optional and used only to understand the AVYA community and plan events. It is never used to decide membership. Where required, we will obtain your explicit consent before processing special category information.
3. How we use your information
We may use your information to review and assess applications; manage membership; understand the community; facilitate introductions and connections; operate referrals; communicate with applicants and members; organise events; maintain community safety and integrity; respond to requests; improve AVYA; and comply with legal obligations. We do not sell your personal information.
4. Our legal basis for using your information
Depending on how you interact with AVYA, we may rely on consent; steps before entering into a contract or performance of a contract; legitimate interests; and legal obligations. Where we process special category personal data, such as religion or racial or ethnic origin, we will also rely on an appropriate condition under Article 9 of the UK GDPR, which may include your explicit consent.
5. Who we share your information with
We may use trusted service providers to support application forms, database and membership management, website hosting, email and communications, events, analytics, future payment processing, technology and infrastructure. AVYA currently uses services such as Tally for application forms and Airtable for application and membership management. These providers may process information on our behalf and are required to handle personal data appropriately. We may also disclose information where required by law or necessary to protect AVYA, our members or others.
6. Referrals
If someone refers you to AVYA, we may receive limited information about you from that person, such as your name, contact details and the fact that they have referred you. We will use that information only to manage the referral and invite you to apply or engage with AVYA. Being referred does not guarantee membership.
7. How long we keep your information
We retain personal information only for as long as reasonably necessary for the purposes for which it was collected. Retention periods may vary depending on whether you apply but do not become a member, join AVYA, attend events, request deletion of your information, or have an ongoing relationship with AVYA. We will periodically review the information we hold and delete or anonymise information that is no longer required.
8. International transfers
Some of the technology providers we use may store or process information outside the United Kingdom. Where personal data is transferred internationally, we will take appropriate steps to ensure that it is protected in accordance with applicable data protection law.
9. Your rights
Depending on the circumstances, you may have the right to access the personal information we hold about you; correct inaccurate information; delete your information; restrict how it is used; object to certain processing; withdraw consent; and request a copy in a portable format. You can exercise these rights by contacting us at hello@theavya.co. You also have the right to raise a complaint with the Information Commissioner’s Office (ICO).
10. Marketing communications
Where required, we will ask for your consent before sending marketing communications. You can unsubscribe at any time using the unsubscribe option provided or by contacting us.
11. Security
We take reasonable organisational and technical measures to protect personal information against unauthorised access, loss, misuse, alteration or disclosure. Access to applicant and member information will be restricted to those who need it for legitimate AVYA purposes.
